Privacy policy

What happens to your details when you contact us — in plain English, and short enough to actually read.

Who we are

Flowsmart Drainage is the data controller for the information described on this page. That is the legal term for whoever decides what happens to your details and carries the responsibility for them — so if you want something changed or deleted, we are who you ask.

When you ask for a quote

The form asks for your name, your phone number and what the drain is doing. When you press send, those details are saved on the server this website runs on, emailed to us so that we see them, and copied into the system we use to keep track of enquiries — a product called GoHighLevel, run by a company in the United States. That copy is made by our server after you press send, not by anything running in your browser, and it happens so that your enquiry sits in a list that gets worked through rather than in an inbox where it can be missed.

We use all of it for one thing: getting back to you about the drainage work you asked about. The legal basis is that you asked us to — taking steps at your request before entering into a contract. No advertising service is involved, and nothing you send is used to target ads at you.

Nothing about the form watches you while you fill it in. It stores nothing on your device, it does not save what you type unless you press send, and if you change your mind and close the page, nothing has been sent anywhere.

We do not sell your details, we do not pass them to anyone for marketing, and asking for a quote does not put you on a mailing list.

When you ring, WhatsApp or email us

We end up with your phone number or email address and whatever you tell us about the problem. We keep it so that we can deal with your enquiry and pick the conversation back up if you call again. The legal basis is our legitimate interest in running the business and answering the people who get in touch with it.

When we do a job for you

We record the address, what we found, what we did about it and what it cost, usually with photographs of the drain before and after. That is partly so we can stand behind the work if you call us back about it, and partly because the invoice is an accounting record we are legally required to keep.

Website analytics

We use Umami to count visits to this website — how many people came, which pages they read, and which of the call and message buttons get used. It tells us whether the pages we write are any use to anyone.

Umami sets no cookies and stores nothing on your device. It does not record your IP address, it cannot follow you to other websites, and there is nothing in it that identifies you to us. What we see is counts.

Cookies and things stored on your device

This website sets no cookies of its own. Neither does its analytics, and neither does the quote form.

Until August 2026 that was not the whole story, and we would rather say so than quietly change it. The quote form used to be one supplied by GoHighLevel, running inside a frame on the page, and loading it also loaded their script — which stored a handful of items in your browser, including a short record of how you had arrived at the site: the page that referred you, any search term and any advertising source. That happened when the page loaded, whether or not you filled the form in. We replaced the form with our own so that it no longer happens.

One thing on the site is still loaded from elsewhere: the customer reviews on the home page come from GoHighLevel, from the address reputationhub.site. It shows what people have written about us on Google and it is not involved in contacting us.

Anything a website has left in your browser can be cleared at any time through your browser's settings — the same place you clear cookies — and blocking it does not stop you using the site. You can always skip the form and just ring us.

Who else sees your information

  • Google — our email is Gmail, so anything you send us through the form, or email us directly, sits in a Google mailbox.
  • GoHighLevel — a US company. Two separate things: their software displays the customer reviews on our home page, and we use their system to keep track of enquiries, so what you send through the quote form is copied into it. That means your name, number and message are held on their servers in the United States as well as ours. It is used to answer you, and for nothing else.
  • Umami — the visit counts described above, which contain nothing personal.
  • Our accountant, and HMRC — invoices and job records, as any business has to.

Nobody else. We do not sell data, share it with marketing companies, or hand it to lead generators.

How long we keep it

  • Enquiries that never became a job — about 12 months, then deleted. That covers both copies: the one on our own server and the one in the system we use to keep track of enquiries.
  • Job and invoice records — six years after the end of the tax year they fall in. That is not our choice; it is how long HMRC requires business records to be kept.
  • Analytics — kept as counts, with nothing personal in them.

Your rights

Under UK data protection law you can ask us to show you what we hold about you, correct it if it is wrong, delete it, or stop using it in a particular way. You can also object to us relying on legitimate interests, and ask for your details in a portable format.

Ask by phone or email using the details at the top of this page. It costs nothing, and we have a month to respond. We may need to check who you are first, which for most people means confirming the phone number or address we already hold.

One thing to know: if you ask us to delete everything, we cannot delete an invoice inside the six-year window described above, because keeping it is a legal obligation. We can delete everything else.

Complaints

If you are unhappy with how we have handled your information, tell us first — it is usually quicker. If that does not resolve it, you can complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113. You do not need our permission and it does not cost anything.
